This article will cover the Invite to Interview feature which allows a recruiter or manager to send a candidates a list of interview days and times to choose from.
Note: If you do not see this button available in your Hirebridge account, please contact support@hirebridge.com to have it activated.
- To begin, visit the candidate's profile.
- Click the Interviews tab.
- Click the Invite to Interview button.
- After selecting the Invite to Interview button the first step is to be sure that your calendar is linked to the scheduler.
- In the top right corner where Calendar is displayed you will see No External Calendar displayed if you do not have any accounts connected.
- To connect a calendar use the links provided below to find instructions on how to connect your calendar accounts.
- Once your calendar is connected your email address will be displayed in the top right corner along with your available times.

After connecting your calendar next is to populate/select the following fields.
- Interview Type - Select the type of interviews
- Where - This textbox allows you to enter a location
- Duration - Select from the dropdown the duration of the interview
- Email Template - This allows you to select the email template you want to send to the candidate. (selecting the eyeball icon that will allow you to preview the message)
- Email Subject - This textbox allows you to edit the email subject.
After selecting/populating the interview information the next step is to select the available interview times.
- To select an available time double-click an open time-slot. This will then give the candidate available times for an interview which they can select from.
- Once a time is created you can extend or move the green available time around the calendar.
- To remove the interview availability select the white X in the top right corner.
- After populating all of the required fields and textboxes select Send Interview Invite.
The interview will populate right away in the candidate profile until the candidate has selected an interview time from the availability. You can review the candidate activity log to see if the message has been sent to the candidate.
Candidate
The candidate will receive an email like the one displayed below that will allow them to select a date and time from the availability.
- After a candidate clicks on the link they will receive a page with available interview dates and times.
Invite a Candidate to Interview
An Invite to Interview email or text can be sent either when a candidate reaches a specific workflow step, which can trigger the invite automatically, or it can be sent manually from the Interviews tab by clicking Invite to Interview.
Steps to Invite a Candidate to Interview:
- Select Invite to Interview
Clicking the Invite to Interview button opens a new invitation page where you can configure the interview details. -
Assign Interview Team and Set Interview Details
On the invitation page, you can:- Assign team members who will participate in the interview.
- Select the Interview Type (e.g., HR Interview, Technical Interview).
- Set the Location for the interview, or choose if the interview will be conducted via Zoom or Teams (if your account is configured, the interview room will be automatically set).
- Choose an Email Template
Select the invite email template from the drop-down menu. The template will be prefilled with relevant details to send to the candidate. - Send the Invitation
Once all details are set, click Send Interview Invite.
Candidate Scheduling Process:
- The candidate will receive an email with a direct link to the interview scheduler. The available dates and times are based on your settings.
- After the candidate selects a time, it will automatically appear on the interviewers' Hirebridge calendar as well as their Teams or Google Calendar.
- Zoom or Teams room links will be included in the calendar entry, ensuring both the candidate and interviewers have access to the virtual meeting details.
This streamlined process makes it easy to coordinate interviews while maintaining clear communication with both candidates and interviewers.

- Once the candidate clicks on a date and time they can confirm by clicking Yes, Book It.
- After the candidate confirms the recruiter and candidate will receive a notification of the interview.
- The candidate profile will then display the interview date and time the candidate selected.
