Closing a Job Requisition

Overview

This guide provides step-by-step instructions for closing job requisitions in Hirebridge, including handling candidate dispositions and notifications.

Step 1: Locate the Job Requisition

  1. Navigate to your Hirebridge dashboard
  2. Find the job requisition you wish to close
  3. Click on the pencil and notepad icon next to the job title

Step 2: Access the Job Requisition Editor

After clicking the pencil and notepad icon, you will be directed to the "Job Requisition Editor" page where you can make changes to the job.

Step 3: Initiate the Closing Process

  1. Locate and click the "Close" button within the Job Requisition Editor
  2. This will direct you to the "Close Job Requisition Page"

Step 4: Complete the Closure Information

Fill out the following required fields:

Field Description
Filled Select "Yes" if the position was filled or "No" if it wasn't
Close Date Enter the date when the requisition should be officially closed
Reason Select the appropriate reason from the dropdown menu
Reason Comment Add any additional details explaining why the requisition is being closed

Step 5: Handle Remaining Candidates

If there are candidates who haven't been dispositioned yet, you'll see a "Candidates Requiring Disposition" section.

Disposition Options:

  1. New Status: Select an appropriate status from the dropdown menu for all remaining candidates
  2. Comments: Provide details about why you've selected this status

"No Interest" Candidate Options:

When selecting "No Interest" as the candidate status, you can configure several options:

  1. Delay sending e-mail: Postpone rejection notifications
    • Set the delay period in hours (e.g., 72 hours)
  2. Enable streamlined process: Simplify the disposition workflow
  3. Set current workflow step milestone: Mark the candidate's position in your process
  4. Default candidate status: Pre-selected as "No Interest"
  5. Default reason: Select from dropdown (e.g., "No Longer Available")
  6. Default to send regrets e-mail: Automatically queue rejection emails
  7. Default e-mail template: Choose appropriate template (e.g., "Regret After Interview")

Candidate Notification Options:

  1. Choose whether to notify candidates of their status change
  2. Select the "DO NOT REPLY" option if you prefer to use a no-reply email address
  3. Template: Select an appropriate email template from the dropdown menu
  4. Alternatively, create a custom message for the candidates

Step 6: Save and Complete

Click the "Save" button to:

  • Close the job requisition
  • Update the status of all remaining candidates
  • Send email notifications to candidates (if selected)

Managing Delayed Regret Emails

Setting Up Delayed Regrets

  • Delayed regret emails can be configured by an Admin in System Setup → No Interest Rules
  • When enabled, rejection emails will be queued to send after the specified delay period
  • This feature allows time for reconsidering candidates before final rejection notifications

Managing the Email Queue

  1. Accessing the Queue: Navigate to the Mail Queue section in Hirebridge
  2. Searching: You can search for specific candidates by email address
  3. Canceling Emails: Click the "X" next to a candidate's name to remove their email from the queue
  4. Monitoring: Regularly check the queue to ensure proper email scheduling

Important Notes

  • All candidates must be dispositioned before a job can be fully closed
  • Consider your email communication carefully as it represents your organization's brand
  • Closing a requisition is final and cannot be easily reversed
  • Delayed regret emails provide a buffer before final rejection communications
